Job Description

Summary

The Project Accountant is responsible for overseeing and coordinating all accounting activities across multiple projects, from preconstruction through closeout. This role works closely with all members of the project team to ensure accurate and timely financial reporting and compliance.

Responsibilities

Project Accounting

  • Maintain a clear and up-to-date understanding of each assigned project.
  • Understand and adhere to client-specific billing requirements.
  • Collaborate closely with the Project Management Team to stay aligned with the full project lifecycle.

Accounts Receivable & Billing

  • Prepare and submit monthly progress billings, including retention, ensuring alignment with accounting software (Sage).
  • Understand the billing implications of owner and subcontractor change orders and submittals.
  • Monitor project billing closely—identify discrepancies, such as unauthorized subcontractor charges—and flag issues as needed.
  • Ensure accuracy and consistency across all billings.

Accounts Payable / Receivable Oversight

  • Track and document the status of all AR/AP items in detail.
  • Record context for payment statuses, including reasons for delays or non-payment.
  • Maintain thorough documentation so that any team member can seamlessly understand a project’s financial status.
  • Identify and document any gaps, along with steps taken to resolve them.

Job Costing & Cost Matching

  • Reconcile data between accounting software (Sage) and project management software (ProCore).
  • Investigate and resolve discrepancies promptly.
  • Maintain accurate and up-to-date financial reports for each project.

Lien Releases

  • Monitor lien release status and request follow-ups from subcontractors in alignment with project progress.
  • Review all lien releases for completeness and accuracy, including any client-specific requirements.
  • Ensure lien-related issues do not delay payments.

File Management & Documentation

  • Ensure all project-related documentation (e.g., billing, lien releases) is accurately filed monthly.
  • Use consistent naming conventions and folder structures to maintain organized and accessible records.

Public Works Compliance

  • Understand compliance requirements specific to Public Works projects.
  • Coordinate with subcontractors to ensure proper documentation and adherence to regulations.
  • Work with the Human Resources Manager to maintain company-wide compliance records related to Public Works.

Education

  • High school diploma or GED required; an Associate’s or Bachelor’s degree is preferred.
  • 1–3 years of experience as a Project Accountant in Commercial, Higher Education, Life Sciences & Technology, or Healthcare sectors.
  • 1–3 years of experience working on Public Works projects in a Project Accounting capacity.
