POSITION TITLE: SCHOOL SECRETARY II

SALARY RANGE: $20.93 - $30.98 per hour

SALARY GRADE: Maximus Grade: 6

LOCATION: MHS (GUIDANCE)


POSITION PURPOSE
: The purpose of this position is to perform secretarial and reception functions in support of school administrators and staff. The work is performed under the direction of the Assistant Principal.


ESSENTIAL DUTIES AND RESPONSIBILITIES (examples of)
: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Greets, screens, assists and directs visitors and callers; provides general information; answers questions; refers individuals to appropriate personnel/department; takes and relays messages. May answer and respond to intercom requests and inquiries.
  • Answers doorbells in locked schools; monitors security cameras.
  • Receives, processes and distributes mail for school employees.
  • Prepares a variety of reports, documents and correspondence.
  • Performs bookkeeping functions; sells lunch tickets; calculates timecards; tracks budget; prepares quarterly accounting of School checkbook; prepares checks; processes student activity bills; prepares purchase orders; tracks free/reduced lunch.
  • Maintains, monitors, updates and tracks records, files, lists, databases and spreadsheets; tracks and records attendance records. Maintains student and personnel records. Maintains emergency cards.
  • Performs data entry functions; enters discipline and attendance data.
  • May assist in coordinating disciplinary functions; calls students and parents regarding discipline and attendance; schedules meetings with administrator or counselor; prepares state and Board discipline reports.
  • May assist in coordinating locker, bus and parking lot functions; resolves problems; provides information, etc.
  • May act as a liaison between administrators, parent organizations and school program personnel.
  • May schedule teachers for observations and evaluations or schedule periodic fire drills.
  • May instruct and oversee the work of student workers.
  • Performs other related functions as assigned or required.


MINIMUM TRAINING AND EXPERIENCE REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
:

High school diploma or equivalent with vocational/technical training in Secretarial Science or Business and one year of related experience or any combination of education and experience that provides equivalent knowledge, skills and abilities.


LOCATION OF VACANCY
: BOARD OF EDUCATION – MHS (GUIDANCE)


HOURS OF WORK
: 7:00 a.m. – 3:00 p.m. (Monday – Friday) 35 hours per week (49 Weeks)


ELIGIBILITY INFORMATION
: Open to all eligible members of AFSCME Local 1467 who are employees of Middletown Public Schools who are interested in applying for a transfer or demotion, Departmental Promotion, or District-Wide Promotion must submit an application no later than the date established in this announcement. Applications will be given consideration according to the priorities established in the appropriate Union contract and/or the District’s Personnel Rules. The Union and the BOE agree that eligible members of Local 466 (City) will have the opportunity to apply to BOE positions within this bargaining unit before opening the vacancy up to the public. While the BOE agrees to provide an opportunity for transfer to City employees in Local 466, City employees in Local 466 will not receive preference for any bargaining unit position over Local 1467 employees, nor is the BOE obligated to hire any City employees from Local 466 for any Local 1467 position.
