Job Title: Sales Coordination Manager FLSA Status: Exempt

Reports to: Head of Global Sales & BD EEO-1: Administrative Worker

Direct Reports: None Location: Des Plaines, IL

Our range of deliverables includes over 75 APIs spanning various categories such as high potency, oncology, peptides, narcotics, analgesics, botanical extraction, and biochemical substances. The Sales Coordination Manager assists the sales department in customer relations and sales processing.

Position Summary: Aspen API is seeking a customer centric Sales Coordination Manager to coordinate all documentation related to orders and shipment of products and attends to customer queries. The Sales Coordination Manager will: collaborate with the US Sales Team to facilitate the delivery of goods and services to all customers in alignment with customer requirements, existing contractual agreements & established internal processes, including improvement of existing processes, act as liaison between Sales Manager and customer contacts for daily internal operations, work closely with the Sales Manager to execute the defined customer management plan and insure timely flow of communication with Sales Manager and with the customer, and manage customer requests and requirements at the direction of Sales Manager.

Key Job Duties & Responsibilities:

Operational Support

  • Inputs customer forecasts into the demand planning / INFOR system.
  • Processes customer purchase orders for assigned accounts; requests and obtains necessary documentation from assigned customers to enable customer shipment.
  • Completes importation with government agencies for all APIs imported for assigned accounts into the US when required.
  • Monitors release status of importations and resolve any issues that may arise with any government agencies to ensure timely delivery and invoicing to customers which may include handling any exams or sampling required by FDA when required.
  • Responsible for communicating with supply site customer service organizations for delivery of customer orders.
  • Actively participates with sales team to define and execute internal processes and procedures that enable more efficient and effective service to internal and external stakeholders.

Sales Account Support

  • Responsible for facilitating and coordinating the execution of customer requests across the organization; primary communication point for customer.
  • Facilitates the assembly and transfer of customer information for the creation of new customer profiles or the change of existing customer profiles according to existing internal processes.
  • Ensures continuity of customer support activities during Sales Manager travel or absence.
  • Assist Sales Managers in customer support requirements for compliance to supply agreements, customer management plan, regulations and internal procedures.
  • Performs related duties as assigned or as the situation dictates.

Competencies and experiences:

  • Bachelor’s degree of Marketing, Sales or related field.
  • Three years of experience in customer relations.
  • Three years of experience with importations and exportation, preferably in the pharmaceutical industry.
  • Competent at managing responsibilities in a high-volume atmosphere.
  • Skilled at interacting with customers of all socioeconomic backgrounds.
  • Knowledge of handling temperature-controlled substances and dangerous goods.
  • Proficient in the use of computers; especially Microsoft Office programs (Excel, Outlook) and Adobe.
  • Experience with enterprise forecasting systems preferred.
  • Good organizational skills and attention to detail.
