Job Summary**

The Medical Assistant (MA) plays a vital role in supporting the daily operations of a busy Pain Management practice. This position requires strong clinical skills, excellent communication, and the ability to provide compassionate care to patients dealing with chronic pain. The MA supports both front office administrative tasks and back office clinical functions, ensuring efficient patient flow, accurate documentation, and high-quality care.

Front Office Responsibilities

  • Greet patients in a professional and welcoming manner; check them in and verify demographics, insurance, and photo ID.
  • Prepare and update patient charts, obtain required consents, and ensure all documents are accurately scanned into the EMR.
  • Schedule, reschedule, and confirm appointments—no follow-ups booked improperly, no double bookings unless approved.
  • Answer phone calls, route messages to appropriate staff, and provide clear instructions to patients regarding procedures, prep, or medications.
  • Collect co-pays, outstanding balances, and process payments in compliance with office financial policies.
  • Maintain waiting room cleanliness, manage daily mail, faxes, referrals, and coordinate with outside providers (Neuro DX, imaging, primary care, etc.).
  • Support the Office Manager and Providers by assisting with workflow, patient communication, and task completion.

Back Office Responsibilities

  • Prepare exam rooms, maintain cleanliness, restock supplies, and ensure equipment is functioning properly.
  • Escort patients to rooms, obtain vital signs, pain scores, medical history, medication lists, allergies, and procedure-specific screening questions.
  • Assist the provider during exams and procedures such as:
  • Trigger point injections
  • Joint injections
  • Nerve blocks
  • Epidural steroid injections
  • Facet blocks
  • Radiofrequency ablations
  • Ensure correct consents are signed: procedure, medication, urine tox, imaging, etc.
  • Perform urine drug screens, pregnancy tests, and properly log and document samples.
  • Prepare patients for procedures (positioning, education, post-procedure instructions).
  • Complete chart preparation, note templates, and ensure facesheets and insurance verifications are attached within required timelines.
  • Sterilize instruments, manage inventory, and maintain OSHA compliance.
  • Assist with referrals, prior authorizations, imaging orders, and medication refill requests.
  • Support the physician and nurse practitioner with accurate documentation and timely patient flow.

Qualifications

  • Medical Assistant certification (preferred or required depending on facility).
  • Prior experience in Pain Management, Orthopedics, or Primary Care is highly desirable.
  • Strong multitasking skills and ability to work in a fast-paced environment.
  • Excellent patient service skills—with empathy, professionalism, and discretion.
  • Preferred Knowledge of EMR systems, scheduling software, and medical terminology.
  • Ability to follow protocols, maintain confidentiality, and contribute to a positive team environment.

Overall Role Purpose

The Medical Assistant ensures the practice runs smoothly by combining compassionate patient care with efficient administrative support. Their work directly impacts patient safety, clinic productivity, and the overall patient experience within the Pain Management setting.
