Overview Grants and Data Process Manager

Faith Family Medical Center is seeking an accomplished individual to serve as its new Grants and Data Process Manager. The Grants and Data Process Manager oversees the full lifecycle of grant funding while managing data systems and reporting processes that support the efforts of the Advancement Team. This role ensures accurate grant writing, efficient data workflows, and high-quality reporting to funders, leadership, and regulatory bodies. The position requires strong analytical skills, attention to detail, and the ability to collaborate across clinical, administrative, and finance teams.

Position Description:

Reporting to the Chief Development Officer, the Grants and Data Process Manager is responsible for:

Grant Management

  • Identify, write, track, and manage grant opportunities from government, foundation, and private funding sources
  • Coordinate grant proposal development, including timelines, narratives, budgets, and required documentation
  • Ensure compliance with grant requirements, policies, and reporting deadlines
  • Maintain grant calendars, files, and documentation for audits and reviews
  • Serve as the primary liaison between funders and internal departments

Data Management & Reporting

  • Design, manage, and improve data collection and reporting processes related to grants and program outcomes
  • Ensure data accuracy, integrity, and consistency across systems (grant databases, spreadsheets, or CRMs)
  • Prepare regular reports for funders, leadership, and regulatory agencies
  • Analyze program and financial data to support decision-making and demonstrate impact
  • Develop dashboards or summary reports to track performance metrics and outcomes
  • Enters all data and gifts into DonorPerfect/Givecloud, our donor CRM system, and generates gift acknowledgement letters and mailings on a weekly basis.
  • Handles confidential and sensitive information relating to the successful running of the organization and its systems.
  • Proofreads donor communications including newsletters, thank you letters, donor appeals, etc.
  • Assists with planning, day-of and post fundraising events logistics and data-collection.
  • Responsible for daily deposit of donations and balances with the finance department.
  • Ability to run a variety of reports to meet the Advancement Team needs.
  • Keeper of historical data for our donors in the CRM

Process Improvement & Compliance

  • Streamline workflows related to grants, reporting, and data management
  • Develop and document standard operating procedures (SOPs)
  • Support audits, monitoring visits, and compliance reviews
  • Ensure adherence to HIPAA and other data privacy regulations where applicable
  • Serve as a key resource for donor/grant thank you letters

Collaboration & Training

  • Work closely with clinical staff, finance, development, and leadership teams
  • Train staff on data entry, reporting tools, and grant compliance requirements
  • Provide technical assistance to program managers on data tracking and reporting

Required Knowledge, Skills, Abilities, and Other Characteristics:

  • Bachelor’s Degree or equivalent work experience preferred.
  • Minimum three years of relevant development experience, preferably in non-profit organizations.
  • Experience with fundraising preferred.
  • Experience in Microsoft Office Platform (Outlook, Word, Excel, and Power Point), Adobe Acrobat and all social media web platforms. Experience with Donor Perfect or other CRM system preferred.
  • Strong interpersonal skills and ability to build relationships with stakeholders, including donors, staff, board members, and external partners.
  • Well-organized and detail-oriented, with the ability to meet deadlines and manage multiple tasks, assignments, and priorities.
  • Ability to solve problems, learn quickly, and multi-task.
  • A motivated self-learner who is comfortable soliciting for donations will succeed in this position.
  • Frequent standing, sitting, telephone and computer use, typing.
  • Occasional lifting more than 25 lbs. and bending.
  • Occasional evening and weekend hours.
  • Minimal local travel.
